Student Volunteer Program

This year, we begin to recruit student volunteers (SVs) to provide essential support to the ChinaVis Conference. Their enthusiastic participation enhances the conference experience for all the attendees.

Student Volunteers benefit by observing the latest advances in visualization and visual analytics, hearing and meeting scholars from around the world, and building a network of research colleagues.

The Student Volunteer Program is looking for reliable, enthusiastic and conscientious student volunteers, to provide them with a valuable experience, as well as help us provide better services for all the attendees.

Application Method

Applicants can send their CV to “chinavisvolunteer@163.com” from June 1 to July 1. SVs will be selected using the following criteria. The first round selected SVs will be emailed on July 10. All other applicants will be placed on a waiting list. The list of selected volunteers will be updated on ChinaVis 2019 website at the same time.

Student Volunteer Task Descriptions

Below are short descriptions of the tasks performed by student volunteers.

Paper, Tutorial, Challenge, and Panel sessions

Volunteers will be at the door to the session ensuring the door remains clear and that people entering have badges. At pre-selected times during the session, the volunteer will count the number of people in the room. Volunteers should introduce themselves to the session chair to determine if any other help is needed, such as running the microphone during Question and Answer portions of each talk.

Registration

Attendees will report at the registration desk when they first arrive at the conference. SVs will find the registration materials of each attendee. Unusual registration cases and new registrations should be referred to the related staff. SVs performing this task will also be expected to provide information at attendees request such as the location of certain sessions and the wifi password.

Before the conference, SVs may be required to assemble registration packets or move registration materials. The early registration shifts will likely be very busy. Later registration shifts may have less things to do -- however, SVs must remain at the registration desk to provide information as needed.

Art Show, Posters, Exhibits

SVs will patrol these areas. These are often quiet tasks with little interaction, especially during sessions. At the end of the poster period, we have volunteers for Poster Wrap-up.

Reception/Banquet

SVs will collect banquet tickets from attendees as they enter. SVs performing this task will be delayed in partaking of the banquet themselves.

Standby, Setup, Wrap up

SVs assigned to these tasks remain in the SV room and perform a variety of tasks as directed by the daily supervisor. These tasks include checking up the task achievement of SVs, filling in for a missing SV, and moving materials. If there is little extra work to be done, SVs can do their own work as long as they remain within the SV room.

SV Training session

SVs have a dedicated meeting room in the conference location (SV room). We will hold a SVs training meeting there on the evening of July 20. We will discuss the description of each task, present the SV supervisors, and distribute shirts and final schedules. If you cannot attend the SV training meeting, please send us an email in advance.

Daily Supervisor

Daily Supervisors spend an entire day in the SV room managing all active SVs, ensuring SVs check in and out of their tasks, ensuring all tasks are covered, explaining tasks to SVs unfamiliar with them, and any other management that needs to be done. At least one SV chair will be present throughout if larger problems manifest.

Student volunteers will receive many benefits for participating in the conference services:

  • Discounted ChinaVis registration (80% percent)
  • Obtain necessary job security, such as volunteer T-shirt, working lunch, etc
  • Certificate recognition for excellent service as volunteer

Selection Guidelines

We will score each application using a points system when the received student volunteer applications are more than the available positions. Our aims are to build a volunteer cohort that will be reliable, courteous and conscientious. Bonus points are as follows:

  • Have attended International VIS conferences (IEEE VIS, EuroVis, PacificVis): 5 points
  • Have attended past ChinaVis conferences, or be student volunteers: 4 points
  • Will attend ChinaVis 2019 papers, challenges, poster sessions, doctoral colloquium, etc: 4 points
  • CET 6: 3 points
  • Masters/Ph.D. Student: 2 points
  • Have attended other academic conferences: 2 points
  • Have volunteer work experience for large events and venue services: 2 points

Reliable Student Volunteers

  • Follow task instructions, and check-in before task begins
  • Are courteous to all attendees and venue staffs
  • Wear volunteer T-shirt while on duty
  • Do not wander off during tasks
  • Ensure have enough time to participate in pre-conference training and related activities, and ensure the service times during conference
